EDITABLE NEWSLETTER BRIEF

Newsletter sponsorship brief template for brand teams

Before asking a newsletter publisher for a fixed fee, define the sponsorship you want them to quote. A standard ad in an issue and a dedicated send can have different creative requirements, schedules and prices. This brief helps a brand team request comparable terms from publishers it already knows. It is a request for a quote; it does not reserve an issue or establish an agreement.

the final conditions before accepting a sponsorship.

2. Choose an issue, a date or both

An issue reference identifies what you are buying; a date describes when delivery is agreed to happen. Ask the publisher which basis applies. For an issue purchase, record an unambiguous issue name or number. For a date purchase, record the agreed date. When both matter, retain both conditions. List two purchased issues as two delivery items so a moved issue cannot be hidden inside a general campaign period.

Illustrative newsletter terms, not a real publisher offer
Publisher wordingWhat to record or ask
“Issue 42, date to be confirmed”Record issue 42 as the buying basis. Keep the send date unanswered; do not invent one.
“Send on 12 November 2026”Keep 12 November as a date. It does not specify midnight or any other exact time.
“Issue 42 on 12 November at 09:00 UTC”Keep the issue, date, exact time and timezone together. A change to either needs review.

3. Separate creative readiness from the send arrangement

Ask who writes and approves the copy, supplies the image and confirms the destination URL. Keep any agreed materials deadline separate from the newsletter send date. If the deadline is only a date, preserve that precision; if no deadline was agreed, leave it open. Stable creative specifications can help prepare a later request, but an old deadline or promise needs confirmation for the new purchase.

4. Check the reply before approval

Keep the publisher’s original message beside the checked terms. Confirm the fixed fee, currency, tax basis, extra charges, issue or date basis and current creative responsibilities. Save a revised offer when the publisher moves an issue, changes the send arrangement or adds a fee. Your approver should decide on that exact offer; internal approval, publisher commitment and buyer acceptance remain separate steps.

If the same quote also includes a website ad, use the media package quote checklist to retain the website conditions and package total.

5. Agree what delivery evidence will be available

Ask what authorized supporting material the publisher can provide, when it will be available and which issue it identifies. A copy of an issue or a publisher send confirmation can support your team’s review; it does not independently establish the recipient count, opens or clicks. Keep publisher-reported performance separate from independently checked facts.

In Datacow, newsletter delivery uses supporting evidence recorded by your team. For an issue purchase without an agreed send date, retain dated supporting evidence and explicitly review whether the purchased scope has completed. Automatic website checks do not verify newsletter sending. Your team makes the delivery decision.

How do you compare newsletter sponsorship cost and CPM?

Request a current fixed fee for the exact issue, sponsorship position or dedicated send. Ask what a quoted CPM divides by: subscribers, delivered emails, measured opens or another count. Keep the count’s source, date, issue scope and definition. Only when a positive count covers the same quoted scope can you calculate fee ÷ count × 1,000, labelled with that denominator. Illustrative arithmetic, not a market rate: a USD 600 fee divided by 20,000 publisher-reported delivered emails gives USD 30 per thousand reported delivered emails. That is not a subscriber CPM or a guarantee of human views. If the count is missing, zero or covers the whole publication rather than the purchased send, leave the comparison unresolved.

A cheaper CPM does not establish better audience fit or clicks on your ad. Ask whether click figures cover your sponsored link, all issue links, unique clicks or total clicks, and which reporting window and filters apply. After the send, use the newsletter sponsorship delivery evidence checklist to record what the publisher actually supplies.

Keep your next newsletter sponsorship decision together.

Review the issue, agreed send arrangement and creative responsibilities beside the publisher’s original. Keep supporting evidence and your team’s delivery decision with that same offer.
