BRAND TEAM APPROVALS
Approve the exact media buying terms, with a clear history.
Pass the checked offer to the person who can decide. They can review the exact price, dates, page position and other conditions before approving, asking for more information or declining.
Record the named publisher’s response first
Before requesting approval, save the response from the publisher contact named on the offer, link its original and record when it was sent. You can use the original quote email if it supports the exact terms; you do not need an extra confirmation email just to request approval. A response about availability is separate from a commitment to deliver.
Changes need another decision
An approval stays with the version it covered. If the publisher changes a term, the earlier decision does not automatically approve the new offer.
Keep each commitment separate
Your internal approval, the publisher’s confirmation and your team’s acceptance are recorded as different steps. That helps everyone see what is still needed before work begins.
Approve website ads, newsletter issues and packages
For a newsletter sponsorship, identify the publication, issue or send date, sponsorship position and any materials deadline. For a combined package, retain each delivery item beside the package total. The approver reviews the same exact version covered by the publisher’s recorded response; a changed issue or price needs another decision.
Give the approver enough context
Include the brand, market, page URL, placement position, device coverage, dates, timezone, fee, currency, tax basis and unresolved conditions. An approval should identify what it covers and who made the decision. If any of those conditions change, return the revised offer for review.
Use the brand placement brief to collect the initial conditions. After both sides agree, review the public page against those terms.
Authority to act and approval answer different questions
A client’s permission for an agency to negotiate or accept a purchase defines who may act and within which limits. The internal approval still decides on the exact offer. Record the evidence, spending limit and restrictions using the media buying authorization checklist. Assemble the accepted commercial terms with the advertising insertion order template; an IO draft does not supply missing commitments.
