EDITABLE PACKAGE REVIEW WORKSHEET
Website and newsletter package quote checklist
A publisher may quote one fixed fee for a website ad and several newsletter sponsorships. To review that package, keep the total beside a clear list of each promised delivery. One attractive headline price does not tell an approver which pages, issues, dates or creative responsibilities it covers. Use this checklist with the publisher’s original message before your team accepts the offer.

1. Keep the quoted total separate from item prices
Record the package fee, original currency, tax basis and any extra charges. Retain an individual item price only when the publisher explicitly supplied it, together with its source. Leave an unpriced item empty. Dividing a package total by the number of items creates an internal allocation; it does not establish the publisher’s price for a website ad or newsletter issue.
If the total and explicit item prices appear inconsistent, ask the publisher to explain the basis. Do not silently change either figure. When comparing two packages, check the delivery scope and currencies before comparing their totals.
2. Review every delivery item
| Item | Conditions to retain |
|---|---|
| Website ad | Exact page URL, position, format, devices, destination link, buying period and any agreed timezone or restrictions. |
| Each newsletter issue | Publication, sponsorship type, position, issue reference or send date or both, destination link and creative responsibilities. |
| Materials deadline | The item it applies to and the agreed date or exact time and timezone. Keep it separate from delivery; leave it unanswered if absent. |
| Package conditions | Original total, currency, tax basis, additional fees, quote expiry, changes, cancellation and any agreed remedy. |
Use the website placement brief for page conditions and the newsletter sponsorship brief for issue and send arrangements. A date-only promise should remain a date; do not add a time the publisher did not agree.
3. Make a changed package visible
| Term | Offer 1 | Offer 2 |
|---|---|---|
| Package fee | USD 2,800 | USD 3,100 |
| Website ad | Agreed page, position and 30-day period | Same website scope |
| First newsletter issue | 5 November 2026 | 5 November 2026 |
| Second newsletter issue | 12 November 2026 | 19 November 2026 |
| Individual item prices | Not quoted | Not quoted |
The fee rises by USD 300 and the second issue moves. This does not establish a USD 300 standalone price for that issue. Keep both offers and the revised publisher message. Approval of Offer 1 does not approve Offer 2, and a new proposal does not silently replace an existing agreement.

5. Review each item before accepting delivery
Retain supporting evidence for the exact agreed offer and delivery item. One visible website ad cannot establish that either newsletter was sent. A statement about the whole package needs enough context to explain which item it supports. Keep unresolved differences, publisher explanations and any remedy beside the original conditions; record your team’s conclusion separately.
Datacow uses team-recorded supporting evidence for these structured packages. It does not automatically verify the whole package, audience size or marketing results. Payment records also remain separate from delivery acceptance. For the next purchase, reuse contacts and stable specifications only after review; price, dates, issues and approvals need a new decision.
See package quote approvals in Datacow, review newsletter-specific conditions, or follow the full direct media buying workflow.
Can you divide a package price across website and newsletter items?
A single package fee does not establish individual item prices. For example, a hypothetical USD 2,400 website-and-two-issues quote gives one total; it does not price each of the three items at USD 800. Ask for item prices when that breakdown matters, and keep them only when the publisher explicitly supplies them. Retain the original package total, currency and tax basis even if an item breakdown is later provided. A missing breakdown leaves a price question, not permission to create one.
What happens when only one item changes?
A moved issue or changed website position can affect the agreed package even when the total stays the same. Use the media package change approval checklist to identify the changed item, retain unchanged conditions and send the complete revised offer for a fresh decision.
