EDITABLE INSERTION ORDER
Advertising insertion order template for direct media buyers
An advertising insertion order (IO) records the commercial terms a buyer and publisher intend to use for a placement. For direct website ads, newsletter sponsorships or a combined package, start from the publisher’s checked quote and identify its exact version. This buyer-focused template keeps the delivery items, quoted fee and acceptance evidence together. Use your organization’s review and acceptance process to decide when the record takes effect.

1. Copy the insertion order template
Replace the placeholders with terms supported by the current original quote or a later recorded reply. Keep unanswered conditions visible. Label a document as a draft until the required decisions and commitments are recorded; filling in the template does not establish them.
ADVERTISING INSERTION ORDER Status: DRAFT - for review IO reference / version / date: [reference / version / date] Source quote ID / exact version / date: [reference / version / date] Original source: [authorized file or message reference] Related amendments: [references / none] Advertiser / brand / buyer contact: [details] Publisher / named publisher contact: [details] Agency, if any / authority evidence: [details / not applicable] Market and language: [agreed scope] Package total / currency / tax basis: [as quoted / unanswered] Additional charges: [as quoted / unanswered] Payment schedule and method: [agreed terms / unanswered] Quote expiry and availability conditions: [as quoted / unanswered] Repeat for EVERY website placement or newsletter issue: Item ID / type: [website / newsletter] Website page and position OR publication and sponsor position: [details] Format and devices OR standard sponsorship / dedicated send: [details] Website period OR newsletter issue / send date / both: [agreed scope] Exact time and timezone: [only when agreed] Destination URL: [agreed link] Creative responsibilities and specifications: [details] Materials deadline: [date / exact time and timezone / not agreed] Restrictions / exclusivity: [agreed terms / unanswered] Item price / currency / source: [only if explicitly quoted; otherwise blank] Delivery evidence to be supplied / deadline: [agreed terms / unanswered] Change, cancellation and missed-delivery conditions: [terms / unanswered] Open conditions / owner / response due: [details / none] Internal approval: [status / authorized person / exact quote and IO version / date / evidence] Publisher commitment: [status / named contact / exact quote and IO version / date / original] Buyer acceptance: [status / authorized buyer / exact quote and IO version / date / evidence] Keep each decision and commitment with the version it covers. A changed date, issue, fee or scope needs a new version and review. This record does not establish payment or acceptance of delivery.
2. Example: one USD 1,800 package with three delivery items
Suppose fictional brand Cedar Supply receives Ridgefield Media quote RF-2026-104, version 1, dated 19 October 2026. Its original email quotes USD 1,800 total, tax included, with no additional charges for the following package. The item prices were not quoted. IO reference CS-104 v1 should identify that exact quote and retain its original email.
| Item | Agreed delivery | Individual price |
|---|---|---|
| WEB-1 | Banner on https://example.com/outdoors, below the introduction, desktop and mobile; 1 November 2026 at 00:00 UTC to 1 December 2026 at 00:00 UTC. | Not quoted; leave blank |
| NEWS-1 | Ridgefield Weekly issue RF-44 on 5 November 2026; standard sponsor slot after the introduction. No exact send time agreed. | Not quoted; leave blank |
| NEWS-2 | Ridgefield Weekly issue RF-45 on 12 November 2026; the same sponsor position. No exact send time agreed. | Not quoted; leave blank |
| Package total | USD 1,800, tax included; no additional charges quoted. | A package total, not an item price |
The sample quote also says Cedar Supply supplies the approved creative and destination link by 28 October 2026, a date-only materials deadline. Preserve that precision. Record any remaining payment, cancellation or remedy questions as open until the publisher answers. Do not divide USD 1,800 into three USD 600 item prices: the quote supplies one package total. If an item breakdown matters, ask the publisher to quote it explicitly.
3. Keep approval and the two commitments distinct
Internal approval answers whether your authorized team member agrees to the purchase. Publisher commitment records what the named publisher contact agreed to deliver. Buyer acceptance records the authorized buyer’s acceptance of those exact conditions. An approval in your organization does not supply either party’s missing commitment. Retain the original response supporting each record and its date, rather than treating the IO filename as evidence that everyone agreed.
If an agency is acting for the advertiser, establish its permitted scope and limit using your existing authority process. The media buying authorization template records that authority separately from the decision on this offer.
4. A date change creates a new version
Now suppose the publisher sends RF-2026-104 v2, moving NEWS-2 from 12 November to 19 November while keeping the USD 1,800 total and all other terms. Create CS-104 v2, link the revised source and show the changed date beside the unchanged conditions. The same fee does not make v2 the same offer.
| Record | Version 1 | Version 2 |
|---|---|---|
| Internal approval | Decision covers v1 only | Needs a fresh decision |
| Publisher commitment | Evidence covers v1 only | Record the publisher’s commitment to v2 |
| Buyer acceptance | Evidence covers v1 only | Record the buyer’s acceptance of v2 |
A revised proposal does not silently replace an existing agreement. Keep the v1 history and resolve whether both sides accept v2. The package change approval checklist provides a longer change record.
5. Use the IO as the reference for delivery review
Review WEB-1 and each newsletter issue against the exact conditions that took effect. Keep supporting material, publisher explanations and your team’s delivery conclusion separate. A visible website ad does not establish that either newsletter was sent, and recording a payment does not accept delivery. Datacow keeps checked offers, version-specific decisions and team-recorded evidence together; publisher payments remain through your usual channels.
Start with the package quote checklist if the terms still need checking, review the approval workflow, or follow the complete quote-to-renewal process.
